Phone Diagram
- LCD screen to provide status messages.
- Signaling protocol:
- Soft keys. These keys vary, depending on current phone activity.
- Navigation button to scroll through text and navigate the LCD display.
- Services button to provide access to phone services.
- Hold button.
- Dial pad.
- Volume button for handset or speaker (depending on which is active). Also controls the ring volume when the handset is on-hook.
- Handset with indicator light that blinks for incoming calls.
Setting up your voicemail:
The first step you want to take with your phone is to setup your voicemail. If you have already done this, skip this section.
- To access your initial voicemail setup, press the soft key button(see diagram, page 1) corresponding to the message tab on the phone’s screen. You will be prompted to enter a password. The default password for voicemail is 12345. After you enter that password, press the pound(#) button to continue.
- You will be prompted for a set of options including your voicemail greeting and password. Do not keep the default password.
- After you setup your voicemail box, you can change these settings anytime by pressing the soft key button corresponding to the message tab on the phone’s screen, enter your password, and then listen to the options. The forth option should be setup options. Press 4, and you will be presented with a series of options including changing your greetings and passwords.
Note: To quickly backup in the menu system on the phone, press the star(*) button. You can access the help menu anytime by hitting the 0 button.
Placing calls:
- To place a call, pick the handset off the hook, and dial a number. Internal numbers are dialed with the four digit extension. External calls are placed by picking up the handset of the hook, and dialing a 9. You will hear the tone change. Then dial the outside number.
- You can dial the number, and then place the call, so you don’t have to hang the phone up if you get halfway through the number and realize you entered it incorrectly. Enter the extension or outside number you want to call (remember to enter 9 before the rest of the outside number), and pick up the handset. The number will dial and place the call.
- Each phone has a speakerphone option. You can enter either the number and press the soft key button corresponding to dial on the phone’s screen, or press the button corresponding to new call, and entering the number.
Note: For both the handset and speakerphone calls, you can enter the number first before you “pick up”, or after you “pick up” the handset or speaker phone.
Transferring calls
- If you want to transfer a call to a different extension, press the soft key button corresponding to transfer while on the line with the person who has dialed you. You will see a prompt on the screen to enter an extension. Enter the extension. You will hear the phone ring. At which point, you may press the transfer button again, and hang up.
Forwarding voicemail
- You may forward a voicemail to another person. To do this, listen to the voicemail. You will be presented with a list of options. The fifth option will be to forward a voicemail. Follow the instructions you hear.
Putting a call on hold
- The put a call on hold, press the hold button. On page 1, you will see a diagram. The hold button corresponds to #6 on the diagram. When you have a call on hold, the button will light up red. When a call is held, you can transfer it at that time as well.
Other options/notes
- To directly send a voicemail, without ringing a person’s phone, enter star(*) before you dial the extension.
- To change your ring volume, toggle. The ringer volume button(see #8 on the diagram) up or down. If you have the handset off the hook, toggling this switch will change the voice volume.
- If you do not know the extension of someone you wish to call, press the services button(see #5 on the diagram), and using the navigation button(see #4 on the diagram), select directories with the select soft key. From there, select directory services, then corporate directory. You will be presented with a search option. Either use the search option, or select search to pull up the whole directory. The names are in alphabetical order.
